How we handle the information you give us through this website, in plain language.

About this notice
This notice explains how VicWide Permits, trading as VicWide, handles personal information collected through this website. It is written for a small Australian business and refers to the Australian Privacy Principles.

What we collect
We only collect what you choose to give us, plus basic technical information needed to run the site.
- Enquiry and booking forms: your name, phone number, email address if you provide one, the service you are asking about, property type, suburb or postcode, a preferred date if you give one, and the message you write.
- Training interest: the same contact details plus the subject and audience you are interested in.
- Assistant conversations: the messages you type into the assistant, and any enquiry details you confirm there.
- Area checks: the suburb or postcode you enter.
- Technical information: your IP address, which is held for a few minutes to limit automated use of the forms, the assistant and the area checker and is not saved with your enquiry. With each enquiry we also record which page and form it was sent from.
Please do not send sensitive information (health information, government identifiers, or financial account details) through the forms or the assistant. We do not ask for it and do not need it.
Why we collect it
- To answer your enquiry and discuss the scope of the work you are asking about.
- To arrange a service, and to send you the report or documentation that results from it.
- To keep a record of what was requested and what was agreed.
- To keep the site working.
We do not sell personal information. We do not use your enquiry details for unrelated marketing without asking you first.
The AI assistant
The assistant on this site answers questions using VicWide’s own approved material. The messages you type are processed by this website so a reply can be generated, and the conversation is used to prepare an enquiry summary if you choose to send one. Where the live AI model is switched on, your messages are also sent to our AI provider (Anthropic) to generate the reply.
The assistant does not assess properties, predict approvals, quote prices or give compliance verdicts. Those stay with VicWide. Anything you confirm as an enquiry is recorded the same way a form submission is.
WhatsApp is a third-party service that you choose to use. If you continue on WhatsApp, we prepare a message summarising your enquiry and you review and send it yourself from your own WhatsApp account.
Once you send it, that message is handled by WhatsApp under its own terms and privacy policy. If you have already sent an enquiry through this site, we hold that enquiry whether or not you send the WhatsApp message. If you open WhatsApp without sending an enquiry here, we only receive what you choose to send on WhatsApp.
Where information is stored
Enquiries are stored in our website hosting and notification systems, and are accessible to VicWide and to anyone helping run the business. Some of our service providers, including hosting, email and the AI provider, may store or process information outside Australia, including in the United States.
The website is hosted by Hostinger. Enquiry notifications are delivered by email to a VicWide inbox provided by Google. Where the live AI model is switched on, assistant messages are processed by Anthropic.
How long we keep it
We keep enquiry records and the documentation produced for you for as long as we need them for the work and for our business records, then delete or de-identify them. You can ask us to delete your enquiry details at any time, unless we are required to keep them by law.
Access, correction and complaints
You can ask us what personal information we hold about you, ask for a copy, and ask us to correct it. Contact us using the details below and we will respond within a reasonable time. There is no charge for asking.
If you are concerned about how we have handled your information, tell us first. We would like the chance to put it right. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC).
Changes to this notice
We may update this notice as the business and the site change. The current version always appears on this page, with the date it was last updated.
